Thanks Wise for the update. Last year we had less than two months to prepare and I think beginning now will be the best. We also have enough to put put down our sponsor list and approach them well in time.This will ensure that while we make our own contributions we have Key Sponsors to make this year's events successful. We also can advertise at a more relaxed pace as well.

Allow me to suggest that we go to our planning documents last year and start reusing them. 
Key things we need to do
Confirm venues
Build up a list of delegates to present
Determine the number of participants we needs
Put up a budget
Draw up detailed plans for the event
Programme of the Day
Sponsorship/Fund Raising Plan
Marketing and Advertising Plan
Logistics (Catering, Equipment etc)
Comunication Plan with our stakeholders 
If we start adding flesh to these points and we have bi-monthly updates by end of May we will be set to launch our plans.
