I would also personally recommend google docs and spreadsheets, as
well as google calendar. But if you go the route of running your own
server, there are some excellent PHP sites available to run in apache.
firstly, to securely host files, try a project named Relay. It
provides a nice interface for hosting files, placing all of the files
in one neat folder server side. Also probably more complex to set up,
but providing everything you need is a Hula server. It will give you
email functions as well as a calendar. post back here and let us know
